How we protect your event data.

INVYTE is operated by INVYTE Tanzania, based in Sinza Bamaga, Dar es Salaam, Tanzania. INVYTE Tanzania operates as a fully managed event guest service. This policy explains how we collect, use, and protect information provided to us in connection with event bookings and guest management.
1. Information We Collect
We collect information provided directly by our clients. This includes:
- Client contact details (name, phone number, email address) submitted through our quote request form or direct communication
- Guest records supplied by the client for a booked event, including guest names and phone numbers
- Event details such as event type, date, venue, and guest count
We do not operate a guest-facing application and do not collect data directly from guests beyond what is required to deliver their invitation and verify their entry at the event.
2. How We Use Your Information
Client information is used solely to respond to quote requests, communicate about event bookings, and deliver the agreed service. Guest information supplied by the client is used only to:
- Prepare and send WhatsApp or SMS invitations on behalf of the client
- Follow up with guests who have not responded, where instructed
- Verify guest identity at the event entrance via QR admission
- Record attendance status for the live dashboard and final report
We do not use guest contact details for any purpose beyond the booked event.
3. WhatsApp Messaging
INVYTE uses WhatsApp to deliver event invitations to guests on behalf of clients. Messages are sent only to guests whose details have been provided by the client, who confirms that guests have consented to receive event communications.
If you have received a WhatsApp message from INVYTE and do not wish to receive further messages, reply STOP to any INVYTE message. We will remove you from all future communications for that event immediately.
4. Data Retention
Guest contact details, invitation delivery records, QR admission status, and attendance data are retained only for the duration of the event engagement. Once the final attendance report has been delivered to the client, guest records are permanently deleted from our systems.
Client contact information is retained for the purpose of managing the booking relationship and may be kept for a reasonable period after the event for follow-up and administrative purposes.
5. Data Sharing
We do not sell, rent, or share guest or client information with third parties for marketing purposes. Guest data is not reused across events or shared with other clients.
We may use trusted technology services to support invitation delivery and reporting. Any such services are used only to fulfil the agreed event service and are not permitted to use your data for their own purposes.
6. Data Security
We take reasonable steps to protect all information held in connection with event bookings. Access to guest records is restricted to INVYTE staff directly involved in delivering the event service.
7. Client Responsibilities
By providing guest records to INVYTE, the client confirms that they are authorised to share those details and that guests have been informed that their contact information will be used to send event invitations and manage their admission. INVYTE relies on the client's confirmation that the appropriate consent has been obtained.
